POSITION TITLE:
Patient Services Specialist

POSITION OVERVIEW:
The Patient Services Specialist plays a crucial role in facilitating seamless patient interactions by ensuring precise and efficient check-in and check-out processes.

This role requires a solid understanding of the protocols for patient registration, insurance verification, demographic data collection, and appointment scheduling for both initial and follow-up visits.

As a vital member of the healthcare team, the specialist must be well-versed in clinic operations while upholding patient confidentiality in accordance with COFMC's policies and regulations.

ESSENTIAL QUALIFICATIONS:
High School diploma or equivalent; mandatoryMust be at least 18 years of ageExperience in a Medical/Dental Office; preferredProven Customer Service skills; essentialAbility to collaborate and communicate effectively with a diverse healthcare team and the publicBasic computer proficiency; requiredProfessional phone etiquetteAbility to sit, stand, walk, bend, and/or lift for extended periods

SUPERVISORY STRUCTURE:
Reports to Patient Services Supervisor

KEY RESPONSIBILITIES:
1. Facilitate patient check-in/out for appointments and manage co-pay and account balance collections, as necessary.
2. Enter sliding fee information when applicable.
3. Schedule, reschedule, or cancel patient appointments as needed.
4. Process daily payments collected throughout the day.
5. Handle credit card transactions.
6. Manage appointment scheduling and processing.
7. Answer incoming calls and direct them appropriately.
8. Maintain provider schedules by coordinating proper appointments.
9. Participate in agency-sponsored training events (safety, OSHA, etc.).
10. Uphold patient confidentiality and adhere to HIPAA regulations at all times.
11. Provide guidance to departmental staff regarding clinic policies and procedures.
12. Keep the workspace organized and professional.
13. Demonstrate a positive attitude and commitment to the organization's mission.
14. Exhibit caring qualities consistent with the values of a community health center.
15. Address patient concerns as per the established complaint resolution process.
16. Complete and submit all departmental reporting in a timely manner.
17. Assist in training new Patient Services Specialists within designated locations.
18. Oversee schedules for Patient Services Specialists, including approval and review of time-off requests.
