POSITION TITLE: Health Information Operations Specialist
POSITION SUMMARY: The Health Information Operations Specialist plays a crucial role within the interdisciplinary healthcare team, taking charge of the management of medical records in accordance with departmental standards. This role also involves the precise and timely scheduling of services based on patient referrals.
ESSENTIAL QUALIFICATIONS:
- High school diploma or equivalent is mandatory.
- Prior experience in medical records management, referrals, or administrative tasks is essential.
- Familiarity with medical terminology is advantageous.
- Exemplary organizational and clerical skills, with a keen attention to detail.
- Strong verbal and written communication abilities.
- Proficient in Microsoft Office Suite, including Word and Excel.
- Ability to collaborate effectively with a diverse healthcare team and the public.
- Typing proficiency is required.
- Capable of multitasking and navigating multiple software applications simultaneously.
- Self-driven and organized, with a flexible approach to adapt to changing circumstances.
- Ability to perform efficiently in a high-volume environment and prioritize tasks effectively.
- Physical capability to sit, stand, walk, bend, and lift for extended periods.
SUPERVISION: Reports to the Director of Health Information Operations and/or Health Operations Assistant.
KEY RESPONSIBILITIES:
- Safeguards patient confidentiality and adheres to COFMC Patient Confidentiality and HIPAA policies.
- Maintains a high level of confidentiality by limiting discussions about patient information to relevant cases.
- Ensures the accurate maintenance of all medical records.
- Verifies that proper authorization is obtained before releasing medical records.
- Distributes incoming faxes based on urgency.
- Handles initial and follow-up appointment referrals for all providers and patients.
- Submits medical records and relevant patient information to receiving facilities.
- Communicates appointment details and requirements to patients.
- Monitors and follows up on incoming referrals.
- Maintains a collaborative relationship with clinical staff to optimize patient flow.
- Engages in Performance Improvement Teams.
- Communicates effectively with colleagues.
- May rotate to other sites as necessary.
- Involved in training new staff and employees.
- Participates in agency-sponsored training and events, including safety and staff meetings.
- Assists in orientation and training activities for new departmental personnel.
- Performs additional duties as assigned.
