POSITION TITLE: Health Information Operations Specialist
POSITION SUMMARY: The Health Information Operations Specialist plays a crucial role within the interdisciplinary health team, taking charge of the maintenance of medical records in accordance with departmental standards. This role also involves the precise and timely scheduling of services as per referrals.
ESSENTIAL QUALIFICATIONS:
- High school diploma or equivalent is mandatory.
- Experience in medical records management, referrals, or administrative tasks is essential.
- Familiarity with medical terminology is advantageous.
- Exemplary clerical and organizational abilities, with a keen eye for detail.
- Strong verbal and written communication skills are required.
- Proficiency in software applications such as Microsoft Office, Word, and Excel is necessary.
- Able to collaborate effectively with a multidisciplinary healthcare team and engage with the public.
- Typing proficiency is a must.
- Capability to multitask and navigate multiple software applications simultaneously.
- Self-driven and organized, with a flexible approach to adapt to changes.
- Ability to operate efficiently in a high-volume environment and prioritize tasks effectively.
- Physical capability to sit, stand, walk, bend, and/or lift for extended durations.
SUPERVISION: Reports to the Director of Health Information Operations and/or Health Operations Assistant.
KEY RESPONSIBILITIES:
- Safeguards patient confidentiality and adheres to COFMC Patient Confidentiality and HIPAA policies and procedures.
- Maintains a high level of confidentiality by refraining from discussing patient information unless it directly pertains to their case.
- Ensures the proper upkeep of all medical records.
- Confirms that appropriate authorization is obtained from patients before releasing medical records.
- Distributes incoming faxes based on urgency.
- Coordinates initial and follow-up appointments for all providers and patients.
- Submits medical records and relevant patient information to the receiving facility.
- Communicates appointment details and requirements to patients.
- Tracks and follows up on incoming referrals.
- Maintains a close working relationship with clinical staff to facilitate optimal patient flow.
- Engages in Performance Improvement Teams.
- Communicates effectively and clearly with colleagues.
- May rotate to other sites as required.
- Involves in training new staff and employees.
- Participates in agency-sponsored training and events (safety, OSHA, staff meetings, etc.).
- Contributes to orientation and training activities for new departmental personnel.
- Performs additional duties as assigned.
