POSITION TITLE:
Patient Services Specialist

POSITION OVERVIEW:
The Patient Services Specialist plays a crucial role in facilitating efficient and accurate patient check-in and check-out processes.

This role requires a solid understanding of the protocols for patient registration, insurance verification, demographic data collection, and appointment scheduling for both initial and follow-up visits.

As a vital member of the healthcare team, the specialist must be well-versed in clinic operations while ensuring patient confidentiality and adherence to the policies and procedures of Central Oklahoma Family Medical Centers (COFMC).

ESSENTIAL QUALIFICATIONS:
High School diploma or equivalent; requiredMust be at least 18 years of ageExperience in a Medical/Dental Office; preferredProven Customer Service skills; requiredAbility to effectively communicate and collaborate with a diverse healthcare team and the publicBasic computer proficiency; requiredStrong phone etiquetteAbility to sit, stand, walk, bend, and/or lift for extended periods

SUPERVISION:
Reports to the Patient Services Supervisor

KEY RESPONSIBILITIES:
1. Facilitate patient check-in and check-out processes, including collecting co-pays and outstanding balances, as necessary.
2. Enter sliding fee scale information when applicable.
3. Manage appointment scheduling, including looking up, rescheduling, or canceling patient appointments.
4. Process daily payments received and handle credit card transactions.
5. Answer incoming calls and direct them appropriately.
6. Maintain provider schedules by coordinating appointments effectively.
7. Participate in agency-sponsored training sessions (safety, OSHA, etc.).
8. Uphold patient confidentiality and comply with HIPAA regulations at all times.
9. Provide support and guidance to departmental staff regarding clinic policies and procedures.
10. Keep the workspace organized and maintain a professional demeanor.
11. Demonstrate a positive attitude and commitment to the mission of the organization.
12. Exhibit compassion and cultural awareness to enhance patient care services.
13. Address patient concerns following established complaint resolution protocols.
14. Complete and submit departmental reports in a timely manner.
15. Assist in the training of new Patient Services Specialists at designated locations.
16. Oversee scheduling for Patient Services Specialists and manage time-off requests appropriately.
