POSITION TITLE:
Patient Services Specialist

POSITION OVERVIEW:
The Patient Services Specialist is responsible for facilitating accurate and efficient patient check-in and check-out processes. This role requires a comprehensive understanding of the procedures involved in patient registration, insurance verification, demographic data collection, and appointment scheduling for both initial and follow-up visits. As a vital member of the healthcare team, the specialist must be well-versed in clinic protocols.
Additionally, the individual will uphold patient confidentiality and adhere to the policies and procedures established by Central Oklahoma Family Medical Centers.

ESSENTIAL QUALIFICATIONS:

  • High School diploma or equivalent; required
    Must be at least 18 years of age
    Experience in a Medical/Dental Office; preferred
    Customer Service Experience; required
    Ability to effectively communicate and collaborate with a multidisciplinary healthcare team and the public
    Basic computer proficiency; required
    Professional phone etiquette
    Must be capable of sitting, standing, walking, bending, and/or lifting for extended periods

SUPERVISION:
Reports to the Patient Services Supervisor

KEY RESPONSIBILITIES:

  • Facilitate patient check-in and check-out for appointments, collecting co-pays and outstanding balances as necessary
    Enter sliding fee information when applicable
    Schedule, reschedule, or cancel patient appointments
    Process daily payments received
    Handle credit card transactions
    Manage appointment scheduling and processing
    Answer incoming calls and direct them appropriately
    Maintain provider schedules by coordinating appointments
    Participate in agency-sponsored training events (safety, OSHA, etc.)
    Ensure patient confidentiality and compliance with HIPAA regulations at all times
    Provide guidance to departmental staff regarding clinic policies and procedures
    Keep the workspace organized and professional
    Demonstrate a positive attitude and commitment to the organization's mission
    Exhibit caring qualities consistent with the values of a community health center
    Recognize cultural factors and work to eliminate barriers to healthcare services
    Address patient complaints as per established resolution protocols
    Complete and submit departmental reports in a timely manner
    Assist in training new Patient Services Specialists within designated locations
    Maintain schedules for Patient Services Specialists and oversee time-off requests
