Administrative Support Specialist

Compensation:
Up to $23.00 per hour, commensurate with experience.
Overview:
This role is pivotal in providing comprehensive administrative, secretarial, and clerical support within the department. The ideal candidate will adhere to the organization's established policies, procedures, and standards while functioning independently to meet the daily operational needs of the department. Participation in departmental and organizational performance enhancement initiatives is expected.
Key Responsibilities:
1. Welcome and direct visitors, ensuring effective communication within the office.
2. Generate reports, memos, correspondence, meeting notes, and special projects as required.
3. Review and refine all written communications for clarity and professionalism.
4. Distribute various forms of communication to patients, medical staff, and hospital personnel as instructed.
5. Professionally manage incoming calls, screen inquiries, take messages, and route calls appropriately.
6. Organize, log, and distribute incoming mail, prioritizing items needing immediate attention.
7. Maintain a systematic and efficient filing system.
8. Record, prepare, and disseminate meeting minutes.
9. Order office supplies and manage printing needs weekly, contributing to cost-effective practices.
10. Interact courteously with all visitors and staff, fostering a collaborative environment.
11. Exhibit flexibility and organizational skills in high-pressure situations.
12. Operate office equipment safely and effectively.
13. Transcribe dictated or written materials, including minutes, memoranda, policies, and reports.
14. Accurately input monitoring and evaluation data into database systems.
15. Provide clerical assistance to managers for quality improvement initiatives as needed.
16. Aid in the creation and coordination of performance improvement reports for the Quality Council.
17. Distribute materials related to performance improvement, regulatory compliance, and quality management as directed.
Qualifications:
A high school diploma is required. Previous experience in a healthcare setting is advantageous.
