Position Overview

Summary:

The Administrative Support Specialist plays a crucial role in managing various office tasks and ensuring smooth operations within the department. This position requires a thorough understanding of organizational policies and procedures, and the ability to work independently while addressing the daily requirements of the department. The specialist will also contribute to performance enhancement initiatives within the organization.

Key Responsibilities:

1. Welcome and assist visitors, ensuring they are directed to the appropriate personnel while maintaining effective communication within the office.

2. Prepare various documents including reports, memos, correspondence, and meeting minutes, as well as managing special projects.

3. Review and refine all written communications for clarity and professionalism.

4. Distribute all forms of communication to relevant parties, including patients and healthcare professionals, as instructed.

5. Professionally handle incoming calls, screening and directing them as necessary, while taking messages when required.

6. Organize and manage incoming mail, ensuring that urgent items are prioritized.

7. Maintain a systematic and efficient filing system to support office operations.

8. Document and circulate meeting minutes accurately and promptly.

9. Manage supply orders and printing tasks on a weekly basis, contributing to cost-effective practices through careful inventory management.

10. Engage professionally with all visitors and staff across various departments.

11. Exhibit flexibility and organizational skills, particularly in high-pressure situations.

12. Operate office equipment safely and efficiently.

13. Transcribe dictated or written materials, including minutes, memoranda, policies, and reports.

14. Input monitoring and evaluation data accurately into database systems.

15. Provide clerical assistance to management for quality improvement initiatives as needed.

16. Aid in the creation and coordination of performance improvement reports for the Quality Council.

17. Distribute materials related to performance improvement, regulatory compliance, and quality management as directed.

18. Undertake additional responsibilities as assigned.

Compensation: $22.00 per hour
