Role Summary: Financial Operations Manager

In collaboration with the Chief Financial Officer, the Financial Operations Manager serves as a key representative and supporter of the mission of the organization. This role encompasses the oversight of daily accounting functions and financial control activities, alongside the management of the Foundation's financial systems.

Founded by a group of forward-thinking individuals, the organization is a tax-exempt public charity dedicated to assisting various stakeholders in achieving their philanthropic objectives.

  • Initially started with modest grants from a small asset base
  • Currently, the organization boasts significant assets, ranking among the largest community foundations in the region
  • Has successfully distributed substantial funds in grants and scholarships to date

Supported by a dedicated team of Trustees, staff, and volunteers, the organization connects individuals with charitable initiatives and sustainable funding for community enhancement.


Reporting Structure: This position reports directly to the Chief Financial Officer and Vice President for Operations, with supervisory responsibilities for a part-time Accountant.


Key Responsibilities

Team Relations and Leadership:

  • Builds trust and rapport with all team members through authentic engagement
  • Fosters a deep understanding of the work of all team members to link financial data with organizational impact
  • Promotes adherence to systems and policies by ensuring accountability and providing necessary education
  • Clarifies responsibilities for direct reports, ensuring documentation and regular evaluations
  • Aligns personal actions with a culture of equity and respect

Daily and Weekly Financial Management:

  • Accurately records all contributions, pledges, and receivables in a timely manner
  • Processes and issues payments for grants and payables efficiently
  • Monitors and reconciles bank and investment account balances
  • Facilitates wire transfers for investment activities as directed by the CFO
  • Administers financial systems, ensuring robust controls and security measures
  • Enforces internal financial controls and assists in the establishment of new protocols
  • Provides support to staff regarding financial inquiries and troubleshooting

Monthly, Quarterly, and Seasonal Financial Tasks:

  • Manages payroll processes and maintains employee payroll records
  • Conducts employee benefit analyses and manages time-off benefits
  • Prepares reconciliations for bank and investment accounts for CFO review
  • Oversees month-end and year-end financial closing processes
  • Updates accounting policies and procedures as necessary
  • Collaborates with the CFO to develop financial statements and reports
  • Prepares documentation for audits and tax returns as required
  • Assists in the formulation of the annual budget
  • Monitors receivables and manages multi-year grant processes
  • Participates in relevant committees and contributes to community foundation initiatives
  • Performs additional duties as assigned by the CFO

Candidate Profile

The organization seeks a finance and accounting professional with outstanding communication abilities. The ideal candidate will demonstrate a history of fostering positive relationships within teams and possess a collaborative and innovative mindset.

Qualifications:

  • Bachelor's degree from an accredited institution
  • CPA certification is preferred
  • A minimum of five years of relevant experience with a proven track record
  • Experience in nonprofit finance is advantageous
  • Advanced skills in Excel and financial systems are essential
