With locations in California, New York, and Florida, our physician-led teams collaborate with Gynecologists, Naturopathic Medicine Doctors, and other specialists to deliver evidence-based, continuous care to our members and their families. Our organization is privately held, ensuring that we operate free from conflicts of interest.

Role Summary:

We are seeking a seasoned operations manager to oversee our Menlo Park office. The Operations Manager is responsible for ensuring smooth daily operations and providing support to staff members, connecting them with the appropriate resources or departments as necessary.

Key Responsibilities:

  • People Management:
    • Directly supervise all Patient Care Coordinators (currently 7) and provide daily management for RNs.
    • Collaborate with the RN Supervisor and MD Site Lead on personnel matters.
    • Manage and approve PTO requests, ensuring proper coverage and scheduling.
    • Handle time card approvals and rectify any discrepancies.
    • Act as the primary contact for unplanned staff absences and coordinate staffing solutions.
    • Foster a positive, team-oriented office culture and mediate staff conflicts.
    • Coordinate training schedules and onboarding for new team members.
  • Customer Service and Leadership:
    • Lead by example to enhance the Patient Experience and promote a supportive team environment.
    • Ensure consistency across all site operations through collaboration with other Operations Managers.
    • Organize monthly staff meetings and participate in operations discussions.
    • Provide constructive feedback regarding operational procedures and improvements.
    • Manage relationships with office vendors.
  • Compliance Oversight:
    • Oversee license renewals, hospital privileges, and other compliance documentation.
    • Act as the Site Safety and HIPAA Monitor.
    • Communicate compliance requirements to the Clinical Operations Team.
  • Facility Management:
    • Maintain an impeccable office presentation, coordinating with the Director of Real Estate for necessary adjustments.
    • Manage office maintenance and cleanliness, ensuring immediate attention to issues.
    • Oversee inventory and supply replenishment.
  • Financial Responsibilities:
    • Prepare monthly expense reports and assist with financial transactions as needed.

Qualifications:

  • Bachelor's degree in a health-related field is required.
  • A minimum of five years of experience in medical office management.
  • Strong professionalism and managerial experience.
  • Excellent organizational, communication, and time management skills.
  • Ability to build rapport and work effectively with diverse individuals.
