Job Description

We are seeking a highly organized and detail-oriented Executive Assistant to provide exceptional support to our Agency Owner. As a key member of our team, you will be responsible for managing the executive's calendar, coordinating meetings, and providing administrative assistance.

Key Responsibilities:
  • Manage the executive's calendar, including scheduling appointments and prioritizing tasks
  • Act as the primary point of contact for executives, employees, clients, and external partners
  • Provide administrative support, including writing and editing correspondence, drafting reports, and preparing presentations
  • Schedule meetings and appointments, and coordinate travel arrangements
  • Develop and implement systems and procedures to improve business operations
  • Provide high-level, confidential support to the executive
  • Manage content creation for social media channels and analytics, CRM systems as needed
  • Coordinate pre- and post-event logistics, including travel and product sales
  • Welcome visitors and direct them to the appropriate department
  • Facilitate and follow up on sales and appointments
  • Organize meetings, including scheduling, sending reminders, and arranging catering
  • Travel and event arrangements for the executive
  • Perform personal duties for the executive as assigned
Requirements:
  • Minimum 2 years of administrative support experience
  • Able to travel to all parts of the US and/or internationally
  • Flexibility, dependability, and adaptability
  • Excellent oral, written, and interpersonal communication skills
  • Excellent organizational skills and ability to manage projects in a fast-paced environment
  • Discretion and trustworthiness
  • Driven, professional, proactive, and autonomous
  • Quick thinker and creative problem solver
  • Self-motivated, results-oriented, and strong attention to detail
Preferred Qualifications:
  • Proven ability to work in a fast-paced, dynamic environment
  • Strong computer skills, including MS Word, Excel, and PowerPoint
  • Detail-oriented with a strong attention to detail
  • Ability to work independently to meet deadlines
  • Strong problem-solving ability
  • Ability to read, write, and communicate in the English language
