Job Overview

Position Title: Service Writer / Administrative Support (Material Handling)

Position Summary:

At Arnold Machinery, we are dedicated to delivering outstanding customer service through our skilled team. Our extensive machinery support team is recognized as one of the best in the western United States. The Service Writer is essential in upholding our service excellence by serving as the primary link between our clients and the dealership, while also providing vital administrative and operational assistance to the service department.

Key Responsibilities:
  • Customer Interaction:
    • Serve as the main contact for customers at the dealership.
    • Enhance customer satisfaction by promoting labor and parts sales.
    • Professionally manage walk-in inquiries and customer calls.
  • Job Oversight:
    • Document, track, and assist in the closure of service jobs.
    • Evaluate machine warranty statuses and inform customers accordingly, advising that charges may apply until confirmation is received.
    • Collaborate with the Service Manager to review daily work schedules and adjust priorities as needed.
    • Ensure that repairs are completed within the estimated labor hours.
    • Follow up with the Service Manager to secure customer approval for jobs when necessary.
  • Administrative Duties:
    • Manage technician time cards and maintain service documentation.
    • Support the Parts Manager with inventory management and ordering of parts.
    • Assist at the parts counter to fulfill customer orders when required.
    • Help the Sales department with necessary paperwork, including financial and equipment orders.
Additional Responsibilities:
  • Ensure compliance with safety and company policies among service personnel.
  • Review final invoices against service proposals to guarantee customer satisfaction.
  • Assist the Service Manager in administrative tasks related to the Service Department.
  • Support the Parts Manager with administrative functions in the Parts Department.
Required Skills and Qualifications:
  • Strong work ethic and proactive approach.
  • Attention to detail with effective problem-solving skills.
  • Proficient in Microsoft Excel and Word.
  • Good numerical aptitude.
Work Environment and Physical Requirements:
  • Ability to sit for extended periods and reach for phone calls.
  • Capable of reading documents and records on a computer.
  • Effective communication skills for phone and in-person interactions.
  • Ability to bend and file paperwork, as well as navigate uneven surfaces.
  • Good hearing to receive communications via radio, phone, and face-to-face.
  • Physical capability to bend and stand for extended periods as necessary.
Educational Background:
  • High School Diploma or equivalent; relevant experience may be considered in lieu of formal education.
