Job Overview

Position Summary

The Billing Coordinator plays a crucial role in the management and execution of legal billing processes.

Key Responsibilities

  • Prepare and process a substantial volume of legal invoices for clients on a monthly basis.
  • Review and modify pre-bills based on requests from attorneys and administrative staff.
  • Allocate retainer or on-account funds as instructed by attorneys and in accordance with firm policies.
  • Implement write-offs following established firm guidelines.
  • Handle complex billing scenarios, including multiple discounts by matter and split party billing, ensuring timely preparation of electronic invoices.
  • Submit invoices electronically and assist in troubleshooting any arising issues.
  • Verify the accuracy of billing documentation as required.
  • Investigate and respond to inquiries regarding billing discrepancies from both internal and external sources promptly.
  • Identify and rectify billing errors effectively.
  • Create billing schedules and conduct various billing analyses as necessary.
  • Maintain effective communication with attorneys, administrative staff, and clients.
  • Distribute monthly reports to partners.
  • Review and update comments for reports shared with the Finance Committee and Partners.
  • Participate in Partner meetings and weekly management discussions to address unbilled matters and e-Billing concerns.
  • Collaborate with Collections staff to address accounts receivable issues and minimize credit balances.
  • Maintain confidentiality regarding client and firm matters.
  • Provide backup support as required.
  • Assist with special projects as needed.
  • Perform additional duties as assigned.

Essential Skills

  • Strong verbal and written communication skills.
  • Ability to work independently and collaboratively within teams.
  • Proficient in using an accounting calculator.
  • Advanced skills in MS Office Suite, especially Excel.
  • Detail-oriented with strong organizational skills.
  • Ability to maintain a high level of accuracy in work.
  • Excellent analytical and problem-solving capabilities.
  • Skilled in organizing, prioritizing, planning, and multitasking to meet deadlines in a fast-paced environment.
  • Adaptability to various work situations to achieve desired outcomes.
  • Willingness to work additional hours as necessary.

Experience Requirements

  • 1 to 2 years of billing experience in a large law firm is required.

Preferred Experience

  • 1 to 2 years of finance, accounting, or e-Billing experience in a law firm is preferred.
  • Familiarity with 3E billing system or similar billing software is preferred.

Educational Background

  • High School diploma or GED equivalent is required.

Preferred Education

  • Bachelor's degree from an accredited institution is preferred, or an equivalent combination of education and experience.

Compensation Information

Salary Range: The estimated base salary range for this position is $75,000 to $95,000.

The actual salary offered will depend on various factors, including the applicant's qualifications, relevant experience, educational background, certifications, and location.

This role is classified as non-exempt, making it eligible for overtime pay.
