Job Overview

Position Summary

The Billing Specialist plays a crucial role in the preparation, management, and execution of billing for legal services rendered by attorneys.

Key Responsibilities

  • Generate and process a substantial volume of attorney invoices for clients on a monthly basis.
  • Review and amend pre-bills based on requests from attorneys and support staff.
  • Allocate retainer or on-account funds as instructed by attorneys in accordance with firm policies.
  • Handle write-offs in compliance with firm guidelines.
  • Prepare intricate invoices, including multiple discounts by matter and split party billing, ensuring timely electronic submissions.
  • Submit invoices electronically and assist in troubleshooting any arising issues.
  • Verify the accuracy of billing documentation as necessary.
  • Investigate and address internal and external inquiries related to billing matters promptly.
  • Identify and rectify billing discrepancies.
  • Create billing schedules and perform various billing analyses as required.
  • Engage effectively with attorneys, support staff, and clients.
  • Prepare and distribute monthly reports for partners.
  • Review and update comments for reports shared with the Finance Committee and Partners.
  • Participate in Partner meetings and weekly management discussions to review unbilled matters and e-Billing concerns.
  • Collaborate with Collections staff to assist with accounts receivable issues and minimize credit balances.
  • Maintain confidentiality regarding client and firm matters.
  • Provide backup support as necessary.
  • Assist with special projects as required.
  • Perform additional duties as assigned.

Essential Skills

  • Strong verbal and written communication skills.
  • Ability to work independently and collaboratively within teams.
  • Proficient in using an accounting calculator.
  • Advanced skills in MS Office Suite, especially Excel.
  • Detail-oriented with strong organizational skills.
  • High level of accuracy in work output.
  • Excellent analytical and problem-solving abilities.
  • Capability to prioritize, plan, and manage multiple tasks effectively under pressure.
  • Adaptability to various work situations to achieve desired outcomes.
  • Willingness to work additional hours as needed.

Experience Requirements

  • 1 to 2 years of billing experience in a large law firm is required.

Preferred Experience

  • 1 to 2 years of experience in finance, accounting, or e-Billing within a law firm is preferred.
  • Familiarity with 3E billing system or similar billing software is advantageous.

Education Requirements

  • High School diploma or GED equivalent is required.

Preferred Education

  • Bachelor's degree from an accredited institution is preferred, or an equivalent combination of education and experience.

Compensation Information

Salary Range: The estimated base salary for this position is between $75,000 and $95,000.

The actual salary offered will be determined by various factors, including the applicant's qualifications, relevant experience, education level, certifications, and the location from which the job will be performed. This position is classified as non-exempt, making it eligible for overtime pay.
