Job Overview

Position Summary: We are looking for a meticulous Billing Operations Specialist to oversee billing functions for a group of attorneys. This position is essential in ensuring billing accuracy and fostering effective communication with both internal teams and clients. The successful candidate will possess experience with Elite 3E billing software and a solid foundation in legal billing practices.

Compensation: $95,000 - $105,000 (Dependent on Experience)

Work Schedule: In-office, five days a week

Key Duties:

  • Generate and circulate Proforma invoices for over 15 attorneys.
  • Assist attorneys in the preparation and finalization of billing documents.
  • Address billing inquiries from attorneys and staff, including questions about billing statements, payment statuses, aged receivables, and requests for copies of bills.
  • Oversee e-billing processes, with proficiency in Elite 3E required.
  • Examine attorney time entries for precision and update client billing agreements, including monitoring discounts.
  • Manage monthly partner billing, including split bills, joint bills, delayed bills, and volume discounts.
  • Compile reports on outstanding Work-in-Progress (WIP) and Accounts Receivable as needed.
  • Send out monthly client statements and assist with client collections as necessary.
  • Review month-end financial reports to ensure accurate reconciliation.
  • Perform additional responsibilities as assigned to meet the firm's operational needs.

Requirements:

  • Bachelor's degree is mandatory.
  • A minimum of three years of billing experience within a law firm environment.
  • Strong familiarity with Elite 3E billing software is highly preferred.
  • Proficient in Microsoft Excel and Word.
  • Exceptional written and verbal communication abilities.
  • Excellent organizational skills with the capacity to manage multiple priorities and details effectively.
  • Able to build and maintain positive working relationships.
  • Willingness to work overtime as necessary and contribute to team objectives.
  • Capability to handle sensitive information with confidentiality.
  • A positive, collaborative attitude and readiness to assist fellow billers in completing tasks.
