Job Summary

The Office Assistant 2 position is a full-time, permanent appointment with the New York State Civil Service. This role involves providing administrative support to the Office of Temporary and Disability Assistance. The successful candidate will be responsible for answering calls, interviewing callers, and communicating with them to explain the process and next steps. They will also be required to redirect calls to the proper subject matter expert queue, practice and ensure compliance with OAH procedures, and escalate issues to supervisors and management when necessary.

Key Responsibilities
  • Answer calls in a busy call center environment
  • Interview callers to gather complete information and identify the purpose of the call
  • Communicate with callers clearly and politely to explain the process and next steps
  • Redirect calls to the proper subject matter expert queue
  • Practice and ensure compliance with OAH procedures
  • Escalate issues to supervisors and management when necessary
  • Monitor and respond to inquiries in the Unit's shared mailbox
  • Review and make necessary corrections to information in the Fair Hearing Information System about dispositions
  • Review and accurately route incoming faxes via the 'Faxinator' computer program
  • Process incoming correspondence and quote it to the appropriate OAH staff
Requirements

To be eligible for this position, candidates must have one year of clerical experience. This position is also eligible for 55b/c appointment, and candidates with 55b/c eligibility are encouraged to apply. The successful candidate will be required to provide acceptable proof of education, experience, credential, and/or license to demonstrate that they meet the minimum qualifications for appointment to this position.
