Job Summary

The MAYORS OFFICE OF CONTRACT SVCS is seeking a highly skilled Deputy Chief of Staff to join our team. As a key member of the Director's office, you will play a critical role in supporting the management of intergovernmental affairs, advancing and monitoring legislative priorities, and drafting complex documents.

Key Responsibilities

• Strategic partner and thought leader that can lead and/or assist in the management of special projects and initiatives
• Support the management of intergovernmental affairs for the agency, including advancing and monitoring legislative priorities
• Drafting memos, background documents, presentation materials, reports, and other documents that distill complex issues
• Preparing agendas and minutes for Director/Chief of Staff meetings
• Tracking follow-up actions across the organization
• Project planning and providing regular updates on current projects
• Serving as a liaison with City Hall, other city agencies, external stakeholders, and internally
• Providing department leaders with recommendations and consultation to improve teamwork
• Collaborating with senior leadership team to determine and prioritize agency strategies
• Ongoing professional development to strengthen skills and increase knowledge in relevant areas of procurement, technology, government operations, public policy, and people and change management
• Understand issues affecting relevant stakeholder groups, including but not limited to covered city agencies, Minority and Women-owned Business Enterprises (M/WBEs), nonprofits, etc.

Requirements

• Baccalaureate degree from an accredited college or university
• Associate degree from an accredited college or university along with two (2) years of experience with administrative, analytic, coordinative, supervisory or liaison responsibilities
• Four-year high school diploma, or its educational equivalent approved by a state's Department of Education or a recognized accrediting organization along with four (4) years of experience as described in question "2" above
• Satisfactory combination of education and/or experience equivalent to that described in questions "1," "2," and/or "3" above

Preferred Skills

• Master's and/or Bachelor's degree in a related field
• Proven record of initiating and managing complex, interdisciplinary projects involving multiple constituents
• Ability to think creatively, embrace new approaches, and pioneer innovative solutions to intricate issues
• Ability to interface with executive level management and give senior-level presentations
• Meet deadlines and work independently while paying close attention to details
• Establish relationships quickly and maximize positive team dynamics
• Succinctly and effectively communicate verbally and in writing
• Distill complex material, present information, and make actionable recommendations
• Analyze data and summarize research to lead ongoing improvement in operations and service
• Define job responsibilities, screen, interview and train staff
• Supervise, coach and structure ongoing professional development for individuals and teams
• Facilitate ongoing intra- and inter-unit knowledge sharing, team-building, and collaboration
• Maintain and update knowledge base, records, and protocols
• Represent MOCS in executive forums, conveying priorities and capturing stakeholder feedback
• Juggle multiple priorities, adjusting subtasks and timelines to ensure goals are met
• Serve as project manager for various initiatives, as necessary.
