Position Title: Front Desk Coordinator

Reports to: Office Manager

Role Overview:
The Front Desk Coordinator plays a vital role in managing administrative tasks related to patient and physician scheduling, bookkeeping, file management, and overall office organization. We seek a professional who values compassionate service and understands that patients deserve personalized attention.

Key Responsibilities:
  • Open the office daily following established protocols.
  • Schedule patient appointments, providing necessary information and options.
  • Assist patients with directions, inquiries, and various customer service needs.
  • Handle a high volume of calls while maintaining prompt response times.
  • Ensure all patient electronic health records (EHR) are created and reviewed accurately.
  • Verify patient demographic and insurance details in accordance with protocols.
  • Communicate financial policies to new patients and direct them to billing as needed.
  • Ensure all patient paperwork is completed prior to appointments.
  • Inform patients of any delays in physician schedules.
  • Screen visitors and respond to routine information requests.
  • Manage incoming faxes and distribute them appropriately.
  • Sort and direct incoming reports to the relevant physician.
  • Maintain accurate records of patient interactions and information.
  • Input patient and insurance data into the system as required.
  • Utilize statistical tools and reports for data management.
  • Collaborate with other departments to ensure effective patient care management.
  • File charts appropriately after clinician review.
  • Manage point-of-service payment collections.
  • Operate office equipment efficiently.
  • Utilize scheduling software for appointment management.
  • Scan and maintain patient information accurately.
  • Prepare fee tickets for upcoming appointments.
  • Balance and close financial collections at the end of each day.
  • Utilize email and internal communication tools for coordination.
  • Foster a cooperative work environment with colleagues and stakeholders.
  • Promote a positive image of the facility to all parties involved.
  • Demonstrate problem-solving abilities and sound decision-making skills.

Qualifications:
  • High school diploma or GED.
  • Proficient typing skills.
  • Experience in a medical office setting.
  • Excellent communication abilities.
  • Strong computer skills, including knowledge of word processing software.
  • High ethical standards and integrity.
  • Familiarity with medical terminology.
  • Willingness to support and uplift colleagues.
