Job OverviewPOSITION SUMMARY:

Under general supervision, the individual will manage a multi-line telephone system, provide routine information to visitors, and perform various clerical tasks as required.


ROLE CONTRIBUTION:

The Receptionist plays a crucial role in delivering a cohesive and dependable support system within the educational environment.


Key Responsibilities:
  • Professionally interact with the public while maintaining a polished appearance.
  • Demonstrate attention to detail, managing and prioritizing multiple tasks and deadlines amidst frequent interruptions.
  • Effectively handle challenging situations and demanding individuals.
  • Exhibit reliability and dependability in all tasks.

PRIMARY DUTIES:
  • Answer incoming calls, providing information and directing calls to the appropriate personnel.
  • Retrieve and relay messages from voicemail to relevant staff.
  • Document caller details including name, time of call, purpose, and direct messages accordingly.
  • Provide information about the organization, including directions and general inquiries.
  • Monitor visitor access and issue passes as necessary.
  • Maintain and update appointment schedules.
  • Sort and distribute incoming mail and publications.
  • Assist with fax operations, including sending and receiving documents.
  • Process payments for services and products.
  • Greet visitors and staff courteously, determining the nature of their business and directing them appropriately.
  • Manage office supply inventory and place orders as needed.
  • Prepare various documents, including memos and reports, as required.
  • Perform additional clerical tasks such as filing and photocopying.

PHYSICAL REQUIREMENTS:

The physical demands of this position require the ability to occasionally lift and/or move up to 25 pounds and the capacity to stand or sit for extended periods.

Vision requirements include close, distance, peripheral vision, depth perception, and the ability to adjust focus.


WORK ENVIRONMENT:

The work environment is typically moderate in noise level.

POSITION LOCATION:

This role is primarily based onsite, with any changes subject to approval by management.


QUALIFICATIONS:

High School Diploma or equivalent, with over two years of relevant experience or training preferred.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Effective time management and organizational abilities.
  • Problem-solving skills with a focus on confidentiality.
