Job OverviewPOSITION SUMMARY:

Under general supervision, the individual will manage a multi-line telephone system, provide routine information to the public, welcome visitors, and perform various clerical tasks as required.


ROLE CONTRIBUTION:

The Administrative Support Specialist plays a crucial role in delivering reliable support to the organization.


Key Responsibilities:
  • Professionally interact with the public while maintaining a polished appearance.
  • Demonstrate attention to detail and the ability to prioritize multiple tasks amidst frequent interruptions.
  • Effectively manage challenging situations and demanding individuals.
  • Exhibit reliability and dependability in all tasks.

PRIMARY DUTIES:
  • Answer incoming calls, provide information, and route calls to the appropriate departments.
  • Retrieve and relay messages from voicemail to the relevant personnel.
  • Document caller details including name, time of call, and purpose, ensuring messages are delivered or calls are directed to voicemail when necessary.
  • Respond to inquiries about the organization and provide necessary directions and information.
  • Monitor visitor access and issue passes as required.
  • Maintain and update appointment schedules.
  • Sort and distribute incoming mail and manage publications.
  • Assist with fax operations, including sending and receiving documents.
  • Process payments for services and products.
  • Greet visitors and staff courteously, determining the nature of their business and directing them accordingly.
  • Order and manage office supplies.
  • Prepare various documents including memos, reports, and correspondence as needed.
  • Perform additional clerical tasks such as filing and photocopying.

PHYSICAL REQUIREMENTS:

The physical demands of this position require the ability to occasionally lift and/or move up to 25 pounds and the capacity to sit or stand for extended periods.

Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.


WORK ENVIRONMENT:

The work environment is typically moderate in noise level.

JOB SPECIFICATION:

The role of Administrative Support Specialist is primarily focused on providing clerical assistance to management, requiring extensive interaction with faculty, staff, parents, and students.

EDUCATION AND EXPERIENCE:

A high school diploma or equivalent is required, along with more than two years of related experience or training, or a combination of education and experience.
