The Administrative Support Specialist operates under the guidance of the Personal Property Shipping Office Lead, with oversight from the PPSO Supervisor. This role necessitates a solid understanding of transportation entitlements as outlined in the Joint Travel Regulation (JTR). Delivering exceptional customer service is paramount. Familiarity with the Defense Transportation Regulation (Part IV) is also required. The Administrative Support Specialist will actively listen to customer inquiries and resolve complaints effectively. A comprehensive understanding of office operations is essential to assist clients who visit the office or reach out via email or phone for updates and general inquiries regarding their household goods transportation. Responsibilities include managing mail distribution and maintaining an organized filing system for essential documents. Additional clerical tasks, such as data entry and document processing, may also be required. The Administrative Support Specialist may assist the PPSO Counselor in reviewing customer orders to ensure preparedness for counseling sessions and serve as a primary contact for general inquiries related to household goods movement.

Key Responsibilities

PRIMARY DUTIES:
  • Execute various repetitive clerical tasks following established procedures.
  • Receive customer documents through in-person interactions, emails, or faxes.
  • Demonstrate familiarity with office terminology.
  • Select appropriate methods from a range of procedures or make minor adaptations based on limited guides and manuals.
  • Refer unresolved issues to appropriate personnel.
  • Access databases to retrieve and record information, including customer complaints and orders.
  • Update databases with customer contact information and notes from interactions.
  • Participate in briefings with counselors to assist in document intake and review.
  • Support daily filing operations within the department.
  • Other duties may be assigned to achieve organizational objectives.
  • Job responsibilities may evolve due to contractual obligations.
Work Environment
  • Primarily functions in an office setting, remaining stationary for approximately 75% of the time.
  • Must wear Personal Protective Equipment (PPE), including a face mask.
  • Ability to lift a minimum of 50 pounds.
  • Engage in face-to-face interactions with customers.
  • Willingness to perform additional duties that may require overtime, weekend, or holiday work.
Qualifications

MINIMUM REQUIREMENTS:

EDUCATION/CERTIFICATIONS:
  • High School Diploma.
  • Proficient in reading and writing English.
  • Valid State Driver's License with no restrictions.
  • Ability to obtain and maintain a Common Access Card (CAC).
  • Proof of U.S. Citizenship required.
  • Maintain driving privileges as necessary.
EXPERIENCE:
  • One year of relevant experience preferred.
  • Experience with the Defense Personal Property System (DPS).
  • Strong organizational, analytical, written, and verbal communication skills.
  • Customer service experience is essential.
  • Six months of administrative experience in an office environment preferred.
SKILLS:
  • Proficient in reading and writing English.
  • Strong organizational, analytical, written, and verbal communication skills.
  • Preferred six months of administrative experience in a multi-functional office setting.
  • Reliable and punctual, with the ability to learn new regulations and collaborate with team members.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Access, Project, SharePoint) for special projects.
  • Able to work independently with minimal supervision.
