The Administrative Support Specialist will work under the direct supervision of the Outbound/Inbound Lead at the Personal Property Shipping Office, with oversight from the PPSO Supervisor. This role requires a solid understanding of transportation entitlements as outlined in the Joint Travel Regulation (JTR) and a commitment to providing exceptional customer service. The specialist will handle inquiries and resolve issues presented by customers, ensuring they receive the necessary assistance regarding their household goods transportation. Responsibilities include managing mail distribution, maintaining organized filing systems, and performing routine clerical tasks such as data entry and document processing. Additionally, the Administrative Support Specialist may assist the PPSO Counselor in reviewing customer orders to prepare clients for counseling sessions and serve as the first point of contact for general inquiries related to household goods movement.

Key Responsibilities

This position description is subject to modification as necessary to fulfill program or organizational requirements.

PRIMARY DUTIES:
  • Execute various repetitive clerical tasks in a defined or slightly modified sequence.
  • Receive customer documents through face-to-face interactions, emails, or faxes.
  • Demonstrate familiarity with office terminology.
  • Select appropriate methods from a diverse range of procedures or make simple adaptations based on limited substantive guides and manuals.
  • Refer complex issues that cannot be resolved through existing guides or procedures.
  • Access databases to retrieve and record information, including customer complaints and orders.
  • Update databases with customer contact information and notes from interactions.
  • Participate in briefings with counselors to assist in the intake and review of documentation.
  • Support the department with daily filing tasks.
  • Additional duties may be assigned to meet organizational objectives.
  • Job responsibilities may evolve based on contractual needs.
WORK ENVIRONMENT:
  • Primarily operate in an office setting, remaining stationary for approximately 75% of the time.
  • Must be equipped to wear Personal Protective Equipment (PPE), including a face mask.
  • Ability to lift items weighing up to 50 pounds.
  • Engage in face-to-face interactions with customers.
  • Willingness to perform additional duties as required, which may include overtime, weekends, flexible hours, and holidays.
Qualifications

MINIMUM REQUIREMENTS:

EDUCATION/CERTIFICATIONS:
  • High School Diploma.
  • Proficient in reading and writing English.
  • Possession of a valid State Driver's License without restrictions.
  • Ability to obtain and maintain a Common Access Card (CAC).
  • Proof of U.S. Citizenship, such as a birth certificate or U.S. Passport.
  • Maintain driving privileges as required.
EXPERIENCE:
  • Minimum of one year of relevant job experience preferred.
  • Familiarity with the Defense Personal Property System (DPS).
  • Strong organizational, analytical, written, and verbal communication skills.
  • Prior customer service experience is essential.
  • At least six months of administrative experience in an office environment.
SKILLS:
  • Proficient in reading and writing English.
