Position Overview

The Administrative Clerk will be responsible for providing essential coverage for the Family Advocacy Program (FAP) front desk during standard business hours (8:00 a.m. - 5:00 p.m.). The FAP front desk serves a unique role, handling incoming calls related to urgent situations, family violence, institutional child abuse/neglect, childcare inquiries, safety concerns, foster care, and other complex support requests. It is crucial for the Administrative Clerk to manage emotionally charged callers who are in crisis and require immediate assistance.

Key Responsibilities

  • Provide information and referrals to appropriate resources as needed.
  • Assist in registering clients for life skills classes, outreach events, or other FAP-sponsored activities.
  • Maintain client files in the required database.
  • Update the monthly calendar and weekly WAS report.
  • Register in the DLA Account system to upload files for printing, ensuring that flyers, brochures, and all necessary FAP materials are readily available for distribution.
  • Process purchase requests in accordance with the protocols established by the Family Advocacy Program administration.
  • Document minutes for biweekly Child Advocacy Team meetings and distribute them to the Contract Program Manager for dissemination.
  • Perform additional duties as assigned.
Qualifications

The ideal candidate will possess the following qualifications:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, and Outlook).
  • Exceptional verbal and written communication skills.
  • Ability to concentrate on multiple details effectively.
  • Capability to respond appropriately to competing priorities in a dynamic, customer-focused professional environment.
  • A high school diploma with a minimum of 2 years of administrative or office experience, or equivalent.
  • Professional certification or a bachelor's degree is preferred but not mandatory.
  • Must be a U.S. Citizen.
