A strong ability to take charge and meet tight deadlines will ensure success in this multi-faceted role. The Administrative Assistant will work closely with the CEO and Vice President.

Responsibilities
  • Provide administrative support to the CEO and Vice President
  • Organize and schedule appointments and meetings
  • Maintain contact lists and databases
  • Produce and distribute correspondence, memos, letters, and reports
  • Assist in the preparation of regularly scheduled reports and presentations
  • Develop and maintain a filing system for client files
  • Order office supplies and materials
  • Submit and reconcile expense reports
  • Provide information by answering questions and requests
  • Generate reports and statistics
  • Handle multiple projects and tasks
  • Prepare and monitor invoices and financial reports
  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Contribute to team effort by accomplishing related results as needed
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, and data entry
  • Write letters and reports on behalf of other office staff
  • Cover the reception desk when necessary
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Resolve administrative problems and issues
  • Receive, sort, and distribute mail and packages
  • Maintain up-to-date employee holiday records
  • Coordinate repairs to office equipment
  • Greet and assist visitors to the office
  • Photocopy and print out documents on behalf of other colleagues
  • Provide polite and professional communication
  • Implement clerical duties and administrative processes
Qualifications
  • Previous experience in an administrative role
  • Strong interpersonal, customer service, and communication skills
  • Ability to multitask and prioritize tasks
  • Proficient in Google and Microsoft Office
