Job Summary

We are seeking an experienced Administrative Assistant to join our team at Koorsen Fire & Security Inc. in the South Bend, IN area. As an Administrative Assistant, you will provide critical support to our branch personnel, ensuring seamless day-to-day operations.

Key Responsibilities
  • Provide administrative and clerical support to branch personnel, including data entry, customer service, and scheduling technicians.
  • Answer phone calls and interact with customers, vendors, and co-workers professionally.
  • Order equipment and manage billing and invoicing processes.
  • Demonstrate a strong understanding of and adherence to all safety regulations and practices.
  • Follow all Koorsen policies, procedures, and core values.
Requirements
  • 1+ years of experience as an Administrative Assistant in the service industry.
  • Experience with dispatching, accounts payable, or scheduling service calls.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Suite: Outlook, Word, Excel, and PowerPoint.
  • High school diploma or GED equivalent.
  • Ability to effectively answer and route phone calls on a multi-line system.
  • Ability to use a 10-key pad to perform data entry efficiently, accurately, and promptly.
Physical Demands
  • Must be able to sit for long periods.
  • Must effectively use standard office equipment.
  • Must be able to perform some repetitive motions while using a computer.
Hiring Process
  1. New hires must complete the I-9 Verification form within three days of employment.
  2. All Positions require background checks with criminal courts, state and county repositories of criminal records, and the Department of Motor Vehicles.
  3. Tests for Evidence of Substance Abuse by urinalysis test are required if this application results in an offer of employment.
