Position Overview: We are in search of a dedicated and detail-focused Project Coordinator. The successful candidate will be a self-motivated individual capable of initiating processes, liaising with both internal and external stakeholders, and ensuring that all outstanding tasks are completed efficiently. The Project Coordinator is vital in maintaining project momentum by implementing project initiation procedures, organizing documentation, and collaborating with essential team members.

Key Responsibilities:

  • Initiate project commencement protocols, which include establishing communication pathways and organizing project files.
  • Ensure systematic project documentation management, encompassing contracts, permits, drawings, change orders, and other pertinent materials.
  • Facilitate coordination among internal and external teams to guarantee timely task completion and adherence to project schedules.
  • Draft and monitor project-related documents, including meeting notes, RFIs, submittals, and punch lists.
  • Enhance communication among project stakeholders, including clients, architects, engineers, subcontractors, and suppliers.
  • Assist in procurement processes, such as organizing lighting specifications, coordinating rentals, and providing project information to purchasing departments.
  • Support project managers with administrative duties, including scheduling meetings, preparing documentation, and managing correspondence.
  • Track project progress and identify potential risks or delays, proactively addressing issues to maintain project timelines.
  • Assist with project closure activities, including the preparation of final project documentation.

Qualifications:

  • Experience in a project coordination or similar capacity.
  • Exceptional organizational abilities with a talent for managing multiple tasks and priorities concurrently.
  • Strong communication and interpersonal skills, with a proven ability to collaborate effectively with diverse teams.
  • Proficiency in Microsoft Office Suite and Google Suite.
  • Familiarity with construction processes, terminology, and documentation standards.
  • Detail-oriented mindset with a commitment to accuracy and quality.
  • Ability to work autonomously with minimal oversight and take initiative to advance projects.
