Position Overview

We are seeking a skilled Receptionist to fulfill a vital role within our organization.

The Receptionist is responsible for managing all incoming inquiries and overseeing lobby activities. This role is fast-paced and customer-oriented, requiring the ability to multitask and adhere to instructions. The front desk plays a crucial role in the efficient and timely capture, entry, distribution, and documentation of leads. Key responsibilities include answering incoming calls, directing them to the appropriate personnel or department, managing mail distribution, overseeing correspondence flow, and serving as the primary point of contact for visitors and vendors, along with additional clerical tasks. It is essential for the front desk to maintain confidentiality regarding manager-level communications from other staff members.
  • Handles a high volume of phone calls using established scripts, addressing objections courteously according to approved guidelines; logs and enters new inquiries, and transfers calls to the appropriate individuals or departments. Takes messages when necessary.
  • This role is highly customer-focused, involving significant phone, email, and in-person interactions.
  • Processes messages from the previous night, enters and assigns leads into the contact management system, and transfers them to the appropriate representatives.
  • Welcomes and assists visitors courteously, assesses their needs, and directs them to the right person.
  • Accurately assigns prospects to representatives upon approval from the Director of Admissions or Campus Director.
  • For prospective students, collects and processes the approved Visitor/Student Profile Sheet, enters it into the contact management system, and assigns it to the appropriate representative.
  • Ensures that prospective students are met by representatives promptly.
  • Monitors the main entry area to ensure that visitors and delivery personnel are escorted appropriately.
  • Receives, sorts, and distributes all incoming mail from postal services and courier companies. Manages outgoing mail daily and sorts it for delivery.
  • Handles all packages (FedEx, UPS, etc.) efficiently.
  • Types various forms, letters, reports, and memos as needed.
  • May assist with additional clerical tasks such as photocopying, faxing, and filing.
  • Performs other assigned duties, particularly to support other departments in coordination with the Campus Director.
Qualifications

  • Ability to thrive under pressure in a fast-paced environment with minimal supervision.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • High School Diploma or GED required.
  • A minimum of one year of customer service experience is preferred.
