General Overview

The City of Green Bay is seeking a dedicated Administrative Records Specialist to support the operations of the Police Department. This role is vital in ensuring the accuracy and integrity of police documentation and records management.

Work Schedule: Monday-Friday, 7:30 a.m.-4:00 p.m.

Compensation: $22.64 per hour

Key Responsibilities

  1. Validate and verify police reports, ensuring compliance with established guidelines for submission.
  2. Confirm the accuracy of municipal and circuit traffic citations, including personal information and officer details.
  3. Transcribe officer information accurately.
  4. Redact sensitive information in accordance with Wisconsin Open Records Laws.
  5. Prepare and process reports for law enforcement initiatives.
  6. Organize and manage monthly submissions to relevant authorities.
  7. Respond to public records requests via various communication methods, adhering to state and departmental protocols.
  8. Handle inquiries regarding departmental procedures and regulations effectively.
  9. Maintain the court calendar for police personnel, managing subpoenas and court notices.
  10. Process applications for permits and licenses, conducting necessary background checks.
  11. Distribute multimedia files to the appropriate legal offices.
  12. Prepare and manage financial documentation, including invoices and cash reconciliations.
  13. Assist in the ordering and distribution of departmental supplies.
  14. Ensure compliance with state and federal audits through accurate record-keeping.
  15. Provide support and training to other clerical staff as needed.
Minimum Qualifications
  • High school diploma or equivalent.
  • Three or more years of relevant office experience, particularly in word processing.
  • Completion of post-secondary courses in Administrative Professional programs or related fields is preferred.
Knowledge, Skills & Abilities
  • Strong command of business English, spelling, punctuation, and grammar.
  • Proficient in general office practices and procedures.
  • Ability to maintain accurate records and files.
  • Competence in operating various office equipment and software.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and manage multiple tasks effectively.
Physical Requirements
Ability to perform the following activities:
  • Lifting and carrying up to 20 pounds.
  • Frequent standing and sitting.
  • Ability to stoop, reach, and lift as necessary.
