Accounts Payable/Accounts Receivable Specialist

We are currently seeking a proficient Accounts Payable/Accounts Receivable (AP/AR) Specialist to enhance our finance department. This role is essential for maintaining efficient financial operations by overseeing both payables and receivables, which are vital for our business activities.

Key Responsibilities:

Accounts Payable Duties:

  • Invoice Management: Scrutinize, validate, and process supplier and vendor invoices, ensuring precision and adherence to company protocols and procurement guidelines.
  • Payment Coordination: Organize and execute timely payments, including checks, electronic transfers, and ACH transactions, while managing payment schedules to optimize cash flow.
  • Vendor Account Reconciliation: Reconcile supplier statements, address discrepancies, and oversee vendor accounts to maintain accurate financial records.
  • Transaction Documentation: Keep comprehensive records of accounts payable activities, including necessary documentation for audits and compliance purposes.

Accounts Receivable Duties:

  • Customer Invoicing: Create and dispatch customer invoices based on sales orders, ensuring accuracy and compliance with contractual obligations.
  • Payment Tracking: Monitor and record incoming payments, including checks, electronic transfers, and credit card transactions, applying payments accurately to customer accounts.
  • Collections Oversight: Review accounts receivable aging reports, follow up on overdue invoices, and liaise with customers to resolve payment challenges.
  • Account Reconciliation: Reconcile customer accounts and address any discrepancies to ensure precise financial reporting.

General Responsibilities:

  • Financial Reporting: Prepare and analyze accounts payable and receivable reports, offering insights into cash flow and overall financial health.
  • Interdepartmental Collaboration: Work closely with purchasing, sales, and production teams to ensure consistency between financial records and operational activities.
  • Process Enhancement: Identify and propose improvements to streamline accounts payable and receivable processes.

Minimum Qualifications:

  • Experience: A minimum of 3 years in accounts payable and receivable, ideally within a manufacturing context.
  • Education: An Associate's degree in Accounting, Finance, or a related discipline; a Bachelor's degree is advantageous.
  • Skills: Proficiency in accounting software and Microsoft Excel. Familiarity with financial practices specific to manufacturing and inventory management is highly preferred.
  • Detail Orientation: Strong organizational abilities with a keen eye for accuracy in managing financial transactions and reconciliations.
  • Communication Skills: Excellent interpersonal and communication abilities for effective collaboration with vendors, customers, and internal teams.
