PRIMARY FUNCTION:
This role is tasked with managing Work Orders, including their initiation, segmentation, and closure.

The individual will oversee communications via emails, phone calls, and messages from various Construction branches to facilitate the daily functions of the Service Departments.

Established procedures will be implemented to ensure standardized processes across all branches. Additionally, this person will receive cross-training with Warranty Analysts and collaborate closely within the same department.

ESSENTIAL DUTIES:
Initiate, maintain, and finalize work orders for Service Operations.

Review and validate the following information:

o Customer account o Component codes o Warranty status o PM o Standard Jobs o Service Letters o Contract / TMandR o Credit Check o Technical Information o SOS history o Transfers of parts/labor o Outside purchases o Documentation in WebXtender o Time Accuracy Codes, approves and receive purchase orders.

Evaluate external purchases related to work orders and PM's. Organize and maintain files.

Process invoices for CAT Access. Vigilantly monitor machine work orders and communicate with the service department regarding necessary adjustments. Code vendor invoices for payment, manage customer credit, and journal entries. Prepare reports and memos, and coordinate work order information for the Warranty Department. Travel to branch locations as required. Log time on the computer and update records for vacation/sick/personal leave in Ceridian Time Pro. Manage incoming and outgoing mail, and transmit information through facsimile, personal messenger, email, etc.

Respond to telephone inquiries and direct calls to the appropriate personnel. Ensure exceptional customer relations by addressing telephone or direct requests, issues, or concerns. Assist the Manager and other team members with various projects as needed.

MINIMUM REQUIREMENTS:

Education:
High School diploma.

Work Experience:
Two years of experience in a similar administrative role.

Physical:
Must possess clear communication skills, both verbal and written, particularly in group settings. Ability to operate a PC for extended periods is essential.

Other:
Strong verbal and written communication skills. Knowledge of accounting principles. Proficient in computer use. Technical aptitude is required. This job description is not exhaustive.
