Job Description

Office Operations Coordinator - Guest Experience Specialist

Schedule: Monday to Friday, 8 AM to 2 PM (30-minute lunch break)

As an Office Operations Coordinator, you will be responsible for overseeing the guest experience and ensuring a warm and welcoming environment for all visitors.

  • Demonstrate courteous and professional communication through various channels including phone, email, and postal correspondence.
  • Manage incoming calls, providing necessary information or directing them to the appropriate personnel. Redirect callers to voicemail or take messages when staff members are unavailable.
  • Enhance office productivity by maintaining the cleanliness and organization of common areas, streamlining processes, managing correspondence, overseeing filing systems, and ensuring adequate supplies and equipment.
  • Offer comprehensive administrative support as required, which includes organizing appointments, meetings, and events, arranging travel, updating filing systems, sorting mail, ordering supplies, maintaining the contact database, and coordinating food deliveries as necessary.
  • Guarantee the smooth operation of office equipment by performing preventative maintenance, requesting service, submitting IT support tickets, and assessing new equipment and methods.
  • Assist team members with ordering company apparel and business cards.
  • Design and maintain nameplates for all workspaces and mailboxes.
  • Update and create project management boards.
  • Promote employee engagement by regularly updating and maintaining office boards, televisions, and employee newsletters.
  • Perform additional responsibilities as assigned.
