Position Overview
The role of Community Manager I is pivotal in enhancing the client experience by delivering exceptional service, operational support, and administrative assistance to both clients and the center team.
Key Responsibilities:
  • Maintain a physical presence at the center to assist clients and respond to inquiries.
  • Prepare for client interactions by familiarizing yourself with products, services, and customer service protocols.
  • Handle all incoming calls for clients, sales, and the organization, directing calls as necessary and addressing client requests.
  • Welcome and guide visitors with a service-oriented approach.
  • Manage incoming mail and packages for clients, ensuring proper sorting and distribution.
  • Oversee the logistics of mail services, including pick-up and delivery coordination.
  • Support the ordering, receiving, stocking, and distribution of office and café supplies.
  • Assist with client onboarding processes.
  • Contribute to the daily operations and upkeep of the center, ensuring readiness of the community café, business center, and conference rooms.
  • Provide marketing materials to clients and potential clients.
  • Help plan and participate in monthly client events, as well as networking and marketing activities during business hours.
  • Perform administrative tasks that facilitate clients' daily operations.
  • Manage client catering requests, including setup and breakdown, while maintaining professional vendor relationships.
  • Schedule conference rooms, day office usage, catering, and equipment through the operational system.
  • Maintain accurate schedules for all clients and day users, assisting with bookings and outreach.
  • Process incoming vendor invoices, determining which should be handled at the center level and which should be sent to accounting.
  • Create purchase orders for office and café supplies, maintaining an inventory.
  • Coordinate with building management and janitorial staff to address any facility issues.
  • Manage purchases and reconciliations for office supplies, postage, parking validations, and shipping accounts.
  • Enhance service quality by suggesting improved processes and identifying new product and service applications.
  • Demonstrate familiarity with profit and loss reports.
  • Perform additional duties as assigned.
Essential Skills and Qualifications:
  • Strong attention to detail and commitment to follow-through.
  • Exceptional verbal and written communication skills.
  • Ability to organize, prioritize, and manage multiple tasks effectively.
  • Flexibility to adapt to changing priorities.
  • Proven team player with strong interpersonal skills.
  • Capacity to thrive in a high-pressure environment and resolve issues proactively.
  • Proficient in IT and technology, including Microsoft Suite.
Education and Experience:
  • Associate's Degree or equivalent; Bachelor's Degree in Arts or Sciences preferred.
  • At least 6 months of experience in a similar office environment.
  • Experience in hospitality sectors such as restaurants, hotels, or retail is highly desirable.
