Key Responsibilities:

  • Ensure a consistent presence to foster an interactive and collaborative workspace, optimizing assignments, cross-training, and peer support for seamless service delivery.
  • Oversee legal practice tasks and projects effectively.
  • Manage administrative duties, including finance and billing tasks, time and expense entries, initiation of new matters, client presentations, and meetings.
  • Collaborate with and delegate tasks to various firm resources, including departments in international offices, to ensure efficient project handling.
  • Draft and prepare intricate legal documents and correspondence.
  • File necessary documents with the appropriate court or agency, applying expertise in legal practice coordination.
  • Coordinate with the Finance Department on client billing processes, including editing and reviewing bills, ensuring accuracy in time entries, and promoting best practices.
  • Support the client billing process through proofreading, applying task codes, and maintaining billing protocols.
  • Facilitate the legal and administrative functions of attorneys, ensuring service levels align with client expectations.
  • Be prepared to work overtime as necessary.

Qualifications:

  • Bachelor's degree is preferred.
  • A minimum of 5 years of experience in legal secretarial roles or relevant legal positions is required.
  • Experience in litigation is essential.
  • Strong organizational, prioritization, coordination, and teamwork skills are necessary.
  • Advanced proficiency in English grammar, spelling, and punctuation; bilingual skills may be required.
  • Expertise in MS Word and document editing applications is required.
  • Proficiency in MS Outlook and web-based conferencing tools is essential.
  • Advanced skills in MS Excel and database applications are necessary.
  • Proficient in MS PowerPoint and presentation software.
  • In-depth knowledge of timekeeping, expense processing, and legal billing practices is required.
  • Familiarity with jurisdictional processes and procedures is essential.
  • Proficient in document management systems.
  • Demonstrated ability to coordinate with various departments, ensuring effective communication and conflict resolution.
  • Excellent written and verbal communication skills are mandatory, with a strong ability to meet deadlines while adhering to firm policies and procedures.
