Job Summary

Hart to Heart Ambulance Service Inc is seeking a highly skilled Administrative Support Specialist to join our team. As a key member of our Operations team, you will provide administrative support to our leadership team, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Customer Service: Provide exceptional customer service skills, exceeding customer expectations and leading by example.
  • Technical Support: Provide technical assistance and support to our leadership team, ensuring they have the necessary tools and resources to perform their duties.
  • Data Analysis: Analyze data and prepare reports to inform our leadership team's decision-making.
  • Program Management: Draft, plan, supervise, and benchmark program activities to ensure their success.
  • Communication: Respond promptly to inquiries from our leadership team, providing clear and concise communication.
  • Problem-Solving: Manage day-to-day problems and record and report observations of concern to our leadership team.
  • Record Keeping: Maintain accurate and complete records, ensuring compliance with company standards.
  • Contract Management: Understand SEPTA contract requirements and provide day-to-day support to our leadership team.
  • Software Implementation: Implement software platforms and coach other stakeholders on their use.
  • Technical Assistance: Provide technical assistance on Microsoft products, including Excel, flowcharts, and PowerPoint.
  • Client Support: Follow up with clients to address questions and provide feedback.
  • Issue Resolution: Ensure proper recording, documentation, and closure of support issues.
  • Procedure Improvement: Recommend procedure modifications or improvements.
  • Knowledge Preservation: Preserve and grow your knowledge of the SEPTA operation, being willing to jump in and assist when additional support is needed.
  • Administrative Support: Accurately and efficiently process mail, following departmental work instructions and guidelines.
  • Feedback and Escalation: Escalate any feedback on items impacting service performance or customer service opportunities.
  • Client Inquiries: Manage client inquiries, ensuring proper investigation and timely resolution.
  • Departmental Standards: Ensure adherence to all departmental standards, policies, and procedures.
