Role Summary

The Administrative Support Specialist is accountable to the Office Manager at COMHAR, Inc. This role encompasses a range of clerical and administrative responsibilities to enhance the operations of the organization. The specialist will engage in various office activities, including documentation, data management, and telecommunication.

Key Responsibilities

  • Manage professional telephone interactions: respond to incoming calls, relay messages, schedule appointments, and monitor voicemail.
  • Adhere to scheduling protocols to coordinate prescribers and manage scheduling modifications.
  • Deliver trauma-informed customer service consistently.
  • Conduct initial consumer interactions, input/update consumer data into electronic health records (EHR), and assist with initial intake processes.
  • Regularly verify consumer insurance eligibility.
  • Organize and retrieve files as necessary.
  • Check consumers in/out, issue transportation passes, and secure necessary signatures.
  • Support monitoring and reminders for staff and consumers to ensure adherence to treatment plans and medication.
  • Facilitate communication for behavioral health services.
  • Assist the medical records department as required.
  • Maintain professionalism during both independent and collaborative tasks.
  • Perform other reasonable duties as assigned by supervisors.

Qualifications

  • Bilingual proficiency in Spanish and English.
  • Strong mathematical abilities.
  • Exceptional verbal and written communication skills.
  • Outstanding interpersonal and customer service capabilities.
  • Typing speed of 45–55 words per minute.
  • Excellent organizational skills with a keen attention to detail.
  • Ability to read and write proficiently in both English and Spanish.
  • Basic knowledge of clerical processes such as recordkeeping and filing.
  • Capacity to work independently.
  • Ability to apply common sense and understanding to execute instructions provided in various formats.
  • Skill in addressing problems involving multiple concrete variables in standardized situations.
  • Exhibit a positive and accommodating demeanor focused on customer satisfaction.
  • Willingness to learn and implement new processes continuously.
  • Demonstrate sound judgment in daily activities and issue management.
  • Competence in utilizing Microsoft Office Suite, email, EHR, and relevant technology.
  • Commitment to delivering quality services to clients.
  • Adherence to confidentiality policies and HIPAA regulations.

Physical Demands

The physical requirements described are representative of those that must be met by an employee to successfully perform the essential functions of this role. The employee frequently uses hands for tasks such as handling or feeling and reaching with hands and arms. Occasionally, the employee may need to stand, walk, and lift/push/pull items weighing up to 25 lbs.

Education and Experience Requirements

  • High School Diploma (or GED) with a minimum of two (2) years of office experience or related field.
  • Associate's Degree with at least two (2) years of office experience.
  • Proficiency in Microsoft Office applications.
  • Bilingual (English and Spanish) skills are essential.
  • Basic understanding of accounting and personnel management.
  • Valid background clearances as required by state regulations.
  • Current certifications in CPR and First Aid are mandatory.
