Role Summary: The Administrative Support Specialist is tasked with providing exceptional client service that is welcoming, precise, and efficient. This role involves acquiring and inputting accurate insurance confirmations, collecting co-payments and outstanding balances, and managing the financial processes for clinic operations. The Administrative Support Specialist is integral to the Clinical Care team, interacting directly with patients both in person and via telephone.

Key Responsibilities:

  • Client Interaction:
    • Ensuring clinic coverage during late shifts, weekend shifts, and rotating across various locations as required
    • Greeting patients and visitors with warmth and professionalism
    • Responding to phone inquiries promptly and confirming information
    • Assisting patients with registration documentation and appointment scheduling
  • Financial Management:
    • Acquiring and entering insurance confirmations
    • Collecting co-payments and overdue balances
    • Implementing collection policies and managing cash transactions
    • Retrieving charges and conducting claims review at checkout
  • Clinical Assistance:
    • Verifying patient details prior to appointments
    • Adhering to protocols for managing calls and referrals
    • Maintaining schedule accuracy and ensuring patient confidentiality
    • Complying with HIPAA regulations and incident reporting procedures

Qualifications and Skills:

  • High school diploma or equivalent
  • Minimum of 1 year experience in customer service
  • Proficient in computer applications and effective communication skills
  • Bilingual in English and Spanish
  • Demonstrated reliability and capacity to manage confidential information
  • Ability to integrate personal values with professional responsibilities

Work Environment:

  • Office-based role involving computer usage and telephone operations
  • Willingness to work late shifts and rotate locations
  • Physical capability to walk, ascend stairs, and lift up to 20 lbs
