Position Summary
The Finance and Administrative Coordinator plays a crucial role in maintaining the efficiency of our office operations, supporting various business functions aligned with the mission of United Solutions Company. This role involves handling sensitive and confidential information and adhering to the company's policies and procedures regarding information security.

Key Responsibilities

General Duties

  • Collaborates with all departments to foster teamwork and ensure timely client service.
  • Coordinates travel arrangements for the management team as required.
  • Handles routine communications with clients and vendors.
  • Provides administrative support to the Board of Directors and the President/CEO as needed.
  • Manages supply orders for all departments.
  • Processes incoming and outgoing mail for the organization.
  • Utilizes personal transportation for occasional supply pickups and local deliveries.
  • Performs additional tasks as assigned to support the organization and its affiliates.

Accounting Responsibilities

  • Assists the Controller in the billing procedures for clients, including data collection, verification, invoice posting, and documentation distribution.
  • Monitors accounts receivable and sends reminders to clients with overdue accounts.
  • Receives and records deposits, reconciles cash accounts, and submits weekly cash reports to the Controller.
  • Timely submission of necessary documents to the Imaging Department for optical upload.
  • Accurately prepares, processes, and files accounts payable checks with appropriate authorization.
  • Maintains ongoing communication with the Controller regarding any relevant issues or updates.

Additional Requirements

  • Associate's degree (2 years)
  • Two years of experience in Accounting
  • Combination of education and relevant experience may be considered
  • Experience in Payroll is advantageous
  • Willingness to travel and provide personal transportation
  • Must be eligible for bonding

Technical Proficiencies

  • Proficient in Microsoft Office Suite – Outlook, Excel, Word
  • Familiarity with printer, scanner, and fax machines
  • Experience with multi-line telephone systems
  • Knowledge of accounting software

Physical and Environmental Considerations

  • Frequent sitting, standing, and walking; occasional lifting or moving objects up to 20 pounds.
  • Ability to receive auditory information in person and via phone.
  • Ability to communicate ideas effectively in person or by phone.
  • Specific vision capabilities required include close vision, distance vision, and depth perception.
