Position Overview
We are seeking an Administrative Operations Coordinator to deliver extensive support in administrative and clerical tasks across all divisions of Catalis. This role encompasses a range of office responsibilities, such as overseeing the reception area, managing phone communications, and organizing mail and other correspondence.
Key Responsibilities
- Deliver administrative and clerical assistance to various departments
- Oversee and maintain the reception area
- Manage incoming phone calls
- Sort and categorize incoming mail, including faxes and emails
- Scan and archive all correspondence, both incoming and outgoing
- Handle outgoing mail, including operating mailing equipment and preparing daily correspondence
- Process address changes, survivor requests, name changes, and other correspondence
- Conduct data entry for checks received via mail
- Prepare special letter requests and related documentation
- Order and manage office supplies
- Maintain kitchen supplies
- Act as a liaison for various office service providers
- Forward invoices to the Accounts Payable department
- Assist in processing tasks during peak operational periods
