Administrative Coordinator

System One Holdings, LLC is seeking an experienced Administrative Assistant to join our team in King of Prussia, PA.
About the RoleThis is an exciting opportunity to work in a rapidly growing consulting firm, supporting our team with administrative tasks and providing exceptional customer service.
Responsibilities- Provide a warm welcome to clients, vendors, and visitors, ensuring a professional and courteous experience.
- Assist with scheduling meetings and preparing conference rooms to ensure seamless execution.
- Answer phone calls and route them to the appropriate personnel, ensuring timely responses.
- Coordinate logistics and provide red carpet treatment for visitors.
- Assist with travel arrangements and maintain an accurate Outlook travel calendar.
- Process incoming and outgoing packages, shipping, faxes, and U.S. mail with precision.
- Maintain, track, and order office supplies and equipment to ensure a well-stocked and efficient workspace.
- Track material costs and generate monthly reports to support project teams.
- Support emergency action plan updates and communications to ensure business continuity.
- Create and update articles for the intranet and update PowerPoint presentations to engage and inform stakeholders.
- Support planning and execution of team events, celebrations, and recognition programs to foster a positive work environment.
- Prepare project manuals, binders, and documentation packages to ensure accurate and organized information.
- Support the interview process and the onboarding of new professionals to ensure a smooth transition.
- Respond to routine inquiries and provide accurate and organized solutions to support the team.
- Experience working in a rapidly growing consulting firm or professional services organization.
- Strong written and verbal communication skills to effectively support organizational growth.
- Advanced working knowledge of Microsoft Office Suite (PowerPoint, Outlook, Word, and Excel).
- Experience with Microsoft Visio (preferred).
- A professional demeanor and strong customer service attributes.
- The ability to work as a team player and to multi-task.
- 3+ years of administrative/receptionist experience is preferred, entry-level candidates will be considered.
- A high school diploma or equivalent.
- A bachelor's or associate's degree in business administration or related field (preferred).
