Administrative Support Specialist

Seeking a highly organized and detail-oriented Administrative Support Specialist to provide exceptional support to our senior executive. The ideal candidate will have a strong background in calendar management, inbox organization, and meeting coordination.

Key Responsibilities:

Executive Support:

  • Manage the executive's calendar, scheduling appointments and meetings with precision.
  • Ensure seamless communication with stakeholders, prioritizing and synthesizing information for efficient workflow.
  • Take accurate meeting notes and craft thoughtful follow-up messages.
  • Plan and execute events, such as business luncheons and client dinners.
  • Handle research requests and confidential information with discretion.

Office Management:

  • Maintain a well-stocked supply inventory and ensure a welcoming office environment.
  • Act as the public face of the company, greeting guests and clients with professionalism.
  • Manage incoming mail and outgoing shipping, ensuring timely and secure delivery.
  • Oversee office space, including furniture and equipment maintenance.
  • Develop and maintain relationships with vendors and building management.

Personal Assistant:

  • Coordinate projects and maintenance across all properties.
  • Plan and execute travel and social events for the executive and their family.
  • Provide transportation support as needed.
  • Schedule appointments and make reservations with ease.

Requirements:

  • Bachelor's degree in Business Administration or 2+ years of experience in an administrative support role.
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Valid driver's license and reliable vehicle.
