Office Records Coordinator

Role Overview
In this position, you will work under close supervision to perform a variety of office and clerical tasks that are essential to the operations of the department.
Key Responsibilities
- Handle a range of clerical and administrative duties, including managing incoming calls, assisting visitors, entering and retrieving information from database systems, maintaining organized filing systems, compiling data, and preparing reports.
- Support various aspects of records management.
- Receive, sort, file, and retrieve forms, mail, and other documents.
- Carry out additional job-related tasks as assigned.
Education:
High school diploma or equivalent.
Experience:
At least one (1) year of general office experience.
Additional Requirements:
Must possess a valid Arizona driver's license.
Essential Skills and Abilities
Knowledge of:
- Clerical and office procedures specific to the department.
- Data processing systems.
- Business English, including spelling, grammar, and composition.
- Office practices and procedures.
- Research methods and report writing.
- Current Microsoft Office applications.
- Filing and recordkeeping systems.
- Effective verbal and written communication.
- Building and maintaining positive working relationships.
- Organization and attention to detail.
- Maintain accurate records and prepare detailed reports.
- Follow both written and verbal instructions.
- Develop and sustain effective working relationships with colleagues and the public.
- Keep management informed of significant operational issues.
- Stay updated on knowledge necessary for the role.
- Handle confidential information with discretion.
- Act with professionalism and courtesy.
The role is primarily office-based, featuring a well-lit and ventilated workspace.
Physical Requirements:
Ability to sit or stand for extended periods, sufficient vision for reading documents and screens, and the capacity to lift up to 30 pounds.
