Position Summary
The Guest Services Coordinator plays a vital role as the primary point of contact for residents and visitors, ensuring exceptional service and support. This position requires a proactive approach to address inquiries and assist with various arrangements, including dining reservations, travel plans, and local entertainment options.

Key Responsibilities

  • Manage incoming calls, directing them appropriately and taking messages as needed.
  • Welcome and register all visitors, providing necessary information and directions.
  • Sort and distribute incoming mail efficiently.
  • Assist with clerical tasks, including drafting correspondence and managing event reservations.
  • Provide accurate information about the community and ensure marketing materials are up-to-date.
  • Respond promptly to emergency calls and building alarms.
  • Conduct regular rounds to maintain security and address any concerns.
  • Process work orders and manage office supplies effectively.
  • Deliver courteous and professional service to residents, guests, and team members.
  • Handle emergency situations in the absence of supervisory staff.
  • Perform additional duties as assigned.

Qualifications

  • High School Diploma or equivalent experience.
  • Familiarity with multi-line telephone systems is essential.
  • Previous experience in concierge or hospitality roles is highly desirable.
  • Excellent communication skills and a positive attitude are required.
  • Strong organizational abilities and the capacity to manage multiple tasks simultaneously.
  • A minimum of one year of experience in an office environment with proficiency in software applications (Word, Excel, Outlook).
  • Ability to communicate effectively in English, both verbally and in writing.

Working Conditions
This role involves light physical activity, including lifting objects up to 20 pounds occasionally. The position requires frequent interaction with residents and visitors, along with the ability to adapt to interruptions throughout the day.
