We are in search of a highly organized and energetic individual to oversee daily operations at the front desk of our firm. This role is essential in our dynamic environment, where priorities may shift rapidly based on client requirements. As the initial point of contact for our clients, you will significantly influence their first impression of our firm. This position offers considerable advancement opportunities within our organization, as we prioritize internal promotions, with many of our administrative staff advancing to higher positions.

Key Responsibilities:

  • Welcome and greet visitors upon their arrival
  • Sort and distribute daily mail and deliveries
  • Manage incoming phone calls, emails, and correspondence professionally and promptly
  • Provide accurate information in-person and via phone/email
  • Ensure the reception area and conference room are tidy and well-equipped with necessary materials
  • Assist staff with various tasks as needed
  • Order office supplies as required
  • Record receipts and manage expense reports
  • Organize and maintain calendars, including scheduling appointments and meetings
  • Prepare documents, reports, and presentations for team members and clients
  • Assist with the onboarding process of new clients, including gathering necessary documentation
  • Provide general administrative support, including filing, copying, and data entry
  • Handle time-sensitive and confidential information appropriately
  • Manage content for the firm's social media accounts
  • Distribute newsletters to clients
  • Utilize various software programs daily to support administrative tasks
  • Adapt to changing priorities and manage tasks in a fast-paced environment

Qualifications:

  • Proven experience as a Receptionist, Front Office Representative, or similar role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, OneNote, and Outlook)
  • Hands-on experience with office equipment
  • Professional demeanor and appearance
  • Strong written and verbal communication skills
  • Resourceful and proactive in problem-solving
  • Excellent organizational and time management abilities
  • Detail-oriented with a high level of accuracy
  • Ability to multitask and prioritize effectively
  • Customer service-oriented attitude
  • Experience with social media platforms
  • Familiarity with graphic design tools like Canva is a plus
  • High school diploma; additional education is advantageous
  • Experience with CCH iFirm and DocuSign is a plus
  • Willingness to learn and grow
