Job Summary

We are seeking a highly skilled and detail-oriented Recruitment and HR Coordinator to join our team at Zadig&Voltaire. This is a dynamic and fast-paced role that will provide support to our Corporate and Retail employee population in the U.S and Canada, with a focus on the Retail population.

Key Responsibilities
  • Recruitment Support:
    • Assist in sourcing and screening candidates for retail field positions (all levels), including job posting and advertising.
    • Screen resumes and conduct initial interviews to ensure the best fit for our company culture.
    • Schedule and coordinate interviews with hiring managers and candidates.
    • Conduct reference checks and background verifications to ensure the integrity of our hiring process.
    • Maintain and update candidate databases and applicant tracking systems to ensure seamless communication.
    • Prepare offer letters and new-hire paperwork, on-boarding schedules and credentials to ensure a smooth transition.
  • HR Administrative Duties:
    • Maintain accurate and up-to-date employee records, ensuring data integrity and compliance with regulations.
    • Assist with onboarding new employees, including orientation and training sessions to ensure a positive employee experience.
    • Handle internal and external HR-related inquiries or requests, providing timely and professional responses.
    • Support payroll processing and benefit administration, ensuring accuracy and compliance.
    • Closely manage status changes, promotions and departures, working closely with the SR. Manager of Payroll and Benefits.
    • Help with monthly global HC and FTE reporting, providing insights and recommendations for improvement.
  • Compliance and Reporting:
    • Ensure all HR activities comply with local, state, and federal regulations, maintaining a culture of compliance.
    • Prepare and submit reports on general HR activities, providing insights and recommendations for improvement.
    • Assist in performance management procedures, ensuring fairness and equity.
    • Maintain monthly recruitment metrics, providing insights and recommendations for improvement.
    • Assist in coordination of mandatory state harassment trainings and development of training workshops, manuals, and other compliance documents.
  • Coordination and Communication:
    • Schedule meetings, interviews, and HR events, ensuring seamless communication and coordination.
    • Liaise with retail and other departments to ensure smooth HR operations, fostering collaboration and teamwork.
    • Provide administrative support to the HR Manager and other team members, ensuring timely and professional responses.
    • Provide benefit program support with all communications for the entire employee population, during open enrollment periods.
    • Follow-up on Health and wellness Program details, ensuring employee engagement and participation.
    Requirements
    • Must have a strong sense of urgency, discretion, and confidentiality, maintaining the trust and confidence of our employees.
    • Able to multi-task and prioritize, managing competing demands and deadlines.
    • Attention to detail and problem-solving skills, ensuring accuracy and compliance.
    • Strong communication (written & verbal) and organizational skills, ensuring seamless communication and coordination.
    • Strategic, hands-on collaborator, working closely with cross-functional teams to achieve business objectives.
    • A bachelor's degree in human resources, Business Administration, or a related field, with 3-5 years of recruitment or generalist Human Resources experience.
    • Microsoft Word, Excel, Outlook, and PowerPoint intermediate level required, advanced level a plus.
    • Experience and knowledge of multi-state US labor, employment laws and policies and procedures for both temporary and permanent employees is a plus.
