Position Summary
We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our dedicated team in the housing sector. This role plays a vital part in ensuring smooth daily operations, providing exceptional support to residents, and maintaining accurate records.
Essential Job Duties and Responsibilities- Manage and oversee departmental functions, including reception, phone communication systems, and mail distribution.
- Participate actively in meetings and events, preparing minutes or summaries as needed.
- Collect, maintain, verify, and report data, statistics, and research findings.
- Assist with rent collection and the monthly certification process for residents.
- Compose, prepare, monitor, and respond to correspondence professionally and efficiently.
- Provide guidance and assistance to residents, families, business partners, and staff members.
- Schedule appointments and maintain calendars for various individuals within the department.
- Develop and maintain a comprehensive filing system for efficient record management.
- Respond to inquiries and provide information about our housing services and programs.
- Conduct Village tours for prospective residents and their families.
- Create and update resident records, ensuring accuracy and completeness of all information.
- Assist with gathering information during the admission process, including conducting interviews with potential residents and families.
- Identify and requisition necessary supplies, equipment, and address any maintenance concerns.
- Coordinate special events and activities to enhance the resident experience.
- Develop newsletters, flyers, and other documents using various software programs and desktop publishing tools.
- Cultivate a positive customer service environment that prioritizes continuous quality improvement, teamwork, mutual respect, professionalism, and accountability.
- Actively participate in departmental meetings, training sessions, and development opportunities.
- Embrace and uphold the mission, vision, values, strategic goals, objectives, and Servant Leadership principles of Presbyterian Villages of Michigan.
- Adhere to established policies and procedures, including those related to employment, department operations, safety, and relevant federal, state, and local regulations.
- Perform any additional duties as assigned by management.
