Job Summary

The Office Services Assistant plays a vital role in ensuring the smooth operation of our client site. As a key member of the Services On-Site team, this individual will provide exceptional support to our clients and colleagues alike.

Key Responsibilities:

  • Administrative Support: Assist the Office Administration team with daily tasks, follow-ups, and client matters.
  • Supply Management: Oversee office supply inventory, including the kitchen, to ensure a well-stocked and organized environment.
  • Conference Room Setup: Prepare conference rooms for meetings, including documents, food, and drinks as needed.
  • Kitchen and Lunch Area Maintenance: Maintain a clean and organized kitchen and lunch area, ensuring a comfortable and welcoming space for employees and clients.
  • Supply Refill: Refill kitchen supplies, such as coffee, cream, napkins, and others, to ensure a well-stocked environment.
  • Event Support: Assist in setting up events within the firm, ensuring a seamless and successful experience.
  • Customer Service: Provide exceptional customer service to employees and clients, responding to their needs and concerns in a timely and professional manner.
  • Document Services: Perform various document-related tasks, including copying, scanning, filing, printing, and more, while maintaining confidentiality.
  • Mail Services: Scan and route incoming mail, post and send urgent matters accordingly, and prepare outgoing mail, including envelopes, packages, and FedEx shipments.

Requirements:

  • Excellent Communication Skills: Possess strong verbal and written communication skills, with the ability to effectively interact with employees and clients.
  • Customer Service Experience: Have prior experience in customer-facing roles, with a proven track record of providing exceptional service.
  • Organizational and Multi-Tasking Abilities: Demonstrate strong organizational and multi-tasking skills, with the ability to prioritize tasks and manage multiple responsibilities.
  • Discipline and Willingness to Learn: Possess a disciplined approach to work, with a willingness to learn and adapt to new situations.

  • Technical Skills: Be comfortable working in a PC and Microsoft Suite environment, with a basic understanding of software applications and systems.
