Position: Assistant Director of Financial Aid

Independence Community College (ICC) is a small, rural, residential community college located in southeast Kansas. We are currently seeking an Assistant Director of Financial Aid to play a pivotal role in the packaging and administration of various financial aid awards, including Federal Student Aid, institutional aid, Foundation aid, Kansas state aid, and institutional scholarships.

Key Responsibilities
  • Oversee and manage the financial aid operations related to the packaging, awarding, and disbursement of Title IV (Federal Financial Aid).
  • Ensure adherence to the National Student Loan Data Service (NSLDS), Common Origination and Disbursement (COD), and other Federal regulations set forth by the Department of Education.
  • Handle student work-study programs, respond to student inquiries, and manage data setup and retrieval for federal and state reporting.
  • Conduct reconciliations for accounts associated with Title IV programs, including Grants, Loans, and Federal Work Study.
  • Supervise the upkeep of financial aid public web content and related literature.
  • Administer all institutional scholarships and ensure accurate reconciliation of scholarship accounts.
  • Process and rectify financial aid documents electronically to comply with federal regulations.
  • Verify and secure documentation for all Federal Student Aid recipients.
  • Package financial aid and issue award letters for prospective students, encompassing all available financial aid options at ICC.
  • Assist in the origination and disbursement processes through the U.S. Department of Education in accordance with ICC and federal standards.
  • Submit necessary documentation to the Business Office for fund disbursement.
  • Monitor Satisfactory Academic Progress (SAP) in line with ICC policies and federal guidelines.
  • Verify documentation for students employed through Federal Work Study and ICC Student Labor programs.
  • Facilitate job placements for student employees, ensuring compliance with Department of Education regulations.
  • Maintain and submit payroll documentation for Federal Work Study and ICC Student Labor programs.
  • Calculate and certify Federal Stafford and Parent PLUS loans in accordance with federal regulations.
  • Provide training and support to personnel on the use of Banner.
  • Address and resolve complex student financial aid issues.
  • Advise students and parents on the full range of financial resources available for attending ICC.
  • Participate in various committees, professional training sessions, and industry conferences on behalf of the Office of Financial Aid and Scholarships.
  • Perform additional duties as assigned by the Executive Director of Financial Aid.
Qualifications

A minimum of an Associate's Degree is required; a Bachelor's Degree in finance, accounting, student affairs, or a related field is preferred. Candidates should have at least three years of experience in administering federal, state, and institutional aid and scholarships, with one year of experience in an educational environment preferred.

Knowledge, Skills, and Abilities

Candidates should possess:

  • Comprehensive knowledge of the regulations governing federal and state aid.
  • Familiarity with higher education financial aid services and programs.
  • Proficiency in college student information systems (e.g., Colleague or Banner), Windows, and Microsoft Office.
  • Strong interpersonal skills to interact professionally with students, parents, faculty, and colleagues in high-pressure situations.
  • Exceptional customer service skills to address inquiries effectively.
  • Strong counseling abilities to assist students with unique needs or circumstances.
  • Attention to detail and organizational skills to manage workflow efficiently.
  • Ability to work with a diverse student population and maintain effective communication across the college and community.
  • Time management skills to handle multiple tasks and meet deadlines.
  • Discretion in handling confidential information.
  • Strong office skills, including necessary computer proficiency.
  • A collaborative work philosophy aligned with the mission of ICC.
Working Conditions

This position requires light physical work, including occasional lifting of up to 20 pounds. The role involves sitting, standing, or walking for extended periods in an indoor office or classroom environment, utilizing standard office equipment. The noise level is typically low to moderate.
