Position: Assistant Director of Financial Aid

We are currently seeking an Assistant Director of Financial Aid to support the packaging and administration of various financial aid awards, which include Federal Student Aid, institutional aid, Foundation aid, Kansas state aid, and institutional scholarships.

Key Responsibilities
  • Oversee and manage the operations related to the packaging, awarding, and disbursement of Title IV (Federal Financial Aid).
  • Ensure adherence to the National Student Loan Data Service (NSLDS), Common Origination and Disbursement (COD), and other Federal Regulations set by the Department of Education.
  • Handle student work-study programs, respond to student inquiries, and manage data setup and retrieval, along with federal and state reporting.
  • Reconcile accounts associated with Title IV programs, including Grants, Loans, and Federal Work Study.
  • Maintain and update financial aid public web content and related literature.
  • Administer all institutional scholarships and ensure accurate reconciliation of scholarship accounts.
  • Process and correct financial aid documentation electronically to comply with federal regulations.
  • Verify and secure documentation for all Federal Student Aid recipients.
  • Package financial aid and generate award letters for prospective students, encompassing all possible financial aid options available at ICC.
  • Assist with the origination and disbursement processes in accordance with ICC and federal requirements.
  • Submit necessary documentation to the Business Office for fund disbursement.
  • Monitor Satisfactory Academic Progress (SAP) in alignment with ICC policies and federal regulations.
  • Verify documentation for students employed through Federal Work Study and ICC Student Labor programs.
  • Facilitate job placements for student employees, adhering to Department of Education regulations and institutional procedures.
  • Maintain payroll documentation for Federal Work Study and ICC Student Labor programs.
  • Calculate and certify Federal Stafford and Parent PLUS loans in compliance with federal regulations.
  • Provide training and support to personnel on the use of Banner.
  • Assist in resolving complex financial aid issues faced by students.
  • Offer counseling to students and parents regarding available financial resources for attending ICC.
  • Represent the Office of Financial Aid and Scholarships in various committees, professional training sessions, and industry conferences.
  • Perform additional duties as assigned by the Executive Director of Financial Aid.
Qualifications

Minimum of an Associate's Degree required; a Bachelor's Degree in finance, accounting, student affairs, or a related field is preferred. A minimum of three years of experience in administering federal, state, and institutional aid and scholarships is preferred, along with at least one year of experience in an educational setting.

Knowledge, Skills, and Abilities
  • Comprehensive understanding of federal and state aid regulations.
  • Familiarity with higher education financial aid services and programs.
  • Proficiency in college student information systems (e.g., Colleague or Banner), Windows, and Microsoft Office.
  • Ability to interact professionally with students, parents, faculty, and colleagues in high-pressure situations.
  • Strong customer service skills to effectively address inquiries in person, online, or via telephone.
  • Demonstrated counseling skills to assist students with unique needs or exceptional circumstances.
  • Capacity to provide accurate and timely information regarding student awards.
  • Awareness of the needs and expectations of community college students and faculty.
  • Strong organizational skills with attention to detail.
  • Able to work effectively with a diverse student population.
  • Excellent communication and interpersonal skills.
  • Time management skills to handle multiple tasks and meet deadlines.
  • Ability to manage confidential information with discretion.
  • Competence in office skills and computer systems necessary for job functions.
  • Willingness to learn about tax returns in the context of validating student aid reports.
  • A collaborative work philosophy aligned with the mission of ICC.
Working Conditions

This position requires light work, with occasional lifting of up to 20 pounds. The role involves sitting, standing, or walking for extended periods and is generally performed in an indoor office or classroom environment, utilizing standard office equipment. The noise level is typically low to moderate.
