Role Summary:

The Administrative Office Coordinator will deliver extensive administrative assistance to the Executive Office at the Milwaukee Art Museum. The ideal candidate will possess a solid background in managing a variety of administrative responsibilities in a dynamic setting with minimal oversight.

Essential attributes for this position include outstanding organizational capabilities, adaptability, and the ability to uphold professionalism and confidentiality while engaging with personnel at all levels. Proficient communication skills, decisive judgment, and meticulous attention to detail are crucial. The candidate should be proactive, resourceful, and adept at prioritizing multiple tasks efficiently.

Key Responsibilities:

  • Oversee daily operations of the Executive Office and provide administrative support to the Chief of Staff
  • Organize the Executive's calendar and coordinate travel logistics
  • Act as a point of contact between the Executive Office, museum personnel, and external stakeholders
  • Prepare documentation for distribution to the Board and Committees
  • Maintain records and files related to the Board of Trustees
  • Assist with special initiatives managed by the Executive or Chief of Staff

Required Qualifications:

  • Associate's degree with at least 2 years of administrative support experience
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and Google Suite
  • Strong calendar management and travel coordination skills
  • Ability to collaborate effectively with internal and external parties
  • Highly organized with the ability to manage multiple projects concurrently
  • Discreet, tactful, and detail-oriented

Work Environment:

This role is situated in a conventional office setting with regular interactions with staff and visitors. Physical demands include the ability to stand, sit, and navigate within the Museum, operate office machinery, and communicate effectively.
