Vintage Realty Corporation is in search of an Administrative Assistant to support the Commercial Property Management division. This role involves delivering administrative assistance to various Property Managers within the organization. The ideal candidate will possess advanced computer proficiency, exceptional organizational skills, and the ability to manage multiple tasks and complex situations concurrently.
Key Responsibilities:
- Reception tasks, including welcoming visitors and managing phone calls
- Invoice reconciliation
- Addressing tenant inquiries
- Monthly credit card reconciliation for designated Property Managers
- Managing security access cards
- Tracking and distributing lease documents (renewals and new leases)
- Filing duties
- Maintaining office supplies inventory
- Organizing filing cabinets (cataloging and archiving old files)
- Preparing tenant handbooks
- Monitoring insurance
- Providing customer service and follow-up communications
- Screening vendor applications
- Managing key inventory
- Assisting various Property Managers as required
- Performing additional duties as assigned
- Minimum of 1 year of administrative experience
- Familiarity with property management or a related field
- Ability to multitask and maintain organization in a dynamic environment
- Strong communication skills
- Proficiency in Microsoft Office Suite
- Attention to detail
