Position Summary

The Senior Administrative Assistant for the College of STEM plays a pivotal role in managing the daily operations of the office. Responsibilities include supervising student and contract personnel, addressing routine operational challenges, and ensuring the seamless execution of administrative functions within the College.

Key Responsibilities

  • Office Management:
    • Oversee the daily operations of the College of STEM office.
    • Ensure the office environment is organized and well-equipped.
    • Develop and implement effective office procedures and workflows.
  • Leadership and Supervision:
    • Provide guidance and leadership to student workers and leaders.
    • Delegate tasks, set priorities, and offer training to team members.
  • Financial Oversight:
    • Assist in monitoring the budget for the College of STEM.
    • Manage expenditures, process requisitions, and reconcile financial documents.
    • Ensure adherence to university financial policies.
  • Student Services:
    • Deliver outstanding customer service to students, faculty, and external partners.
    • Assist with student inquiries and scheduling.
    • Support student events and academic programs.
  • Facilities Management:
    • Coordinate maintenance and repair of office equipment.
    • Manage room bookings for meetings and events.
    • Ensure a safe and welcoming office environment.
  • Administrative Duties:
    • Prepare and review correspondence and reports.
    • Handle confidential information with care.
    • Assist with data management and compliance tasks.
  • Event Management:
    • Lead the organization of College of STEM events, including workshops and seminars.
    • Manage logistics and oversee event budgets.
  • Collaboration:
    • Work with other departments to facilitate collaborative initiatives.
    • Participate in relevant committees and meetings.

Qualifications

  • Bachelor's degree or equivalent experience preferred.
  • Prior experience in office management or supervision, ideally in an academic context.
  • Strong leadership and interpersonal abilities.
  • Proficiency in Microsoft Office Suite.
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy.
